Any information collected, assembled, or maintained by or for a governmental body is generally subject to the Texas Public Information Act. The format (paper, electronic, microfilm, etc.) of the record does not affect its status as a public record. The location in which the information is retained also does not affect its status as public information (employee’s home computer, personal phone, USB drive, etc.) The governmental body does not, however, have to create or manipulate documents to respond to requests, nor must it answer questions.

Learning Management Systems (LMS)
eCampusFor Spring 2021, all eCampus courses will be created automatically. If you need to enroll TAs or combine sections, you still need to go to ecampustools.tamu.edu. Faculty members are responsible for creating their own courses and exporting/importing content from past courses.

- ExamSoft/Examplify
If you are planning to use ExamSoft with scantrons or online exams/quizzes, then courses and students are automatically enrolled when syncing with eCampus courses. Please send your request at least one week before the first week of classes.
Note: for Canvas, ExamSoft integration tool will not work during Fall 2020, but you still can use the Examsoft and Examplify with students, and sending grades from ExamSoft to Canvas manually. For more tutorials, visit the ExamSoft & Examplify Tutorials page
- Respondus
1) Respondus LockDown Browser and 2) Respondus Monitor
This is a tool that works in both LMS, Blackboard and Canvas, and prevents students from accessing other applications on their desktop/laptop, including other browsers and communication channels, during an exam. Respondus Monitor is a tool used in conjunction with Respondus Lockdown Browser in eCampus and Canvas to record students taking the exam using Artificial Intelligence. This algorithm flags any testing irregularities for review by the faculty member and/or TA. See Respondus LockDown Browser Tutorials
3) Respondus 4.0
This software enables the creation and management of printed and online exams. You can create exams directly within Respondus, import existing exams from word processor files, or pull content from publisher test banks.
We provide a university-wide site license for Respondus, which is available at no cost for instructors.

Your course has access to Mediasite, the university's standardized streaming media system that provides either public or private access to video and audio content. - Zoom
With Zoom, you can record your lecture and upload it to the cloud. Then, share that link. For Zoom tutorials, consult TAMU Zoom Account.

Refer to the Guidance for Student Related Recordings stated by TAMU, for Zoom Recordings.
' It is recommended that faculty add verbiage to exam guidelines that are distributed to students ahead of the exam to disclose that the faculty member/TA will be recording the proctored exams.
- This information should be repeated at the start of the exam once the recording has been turned on.
- Additionally, when students register for the exam via Zoom, faculty may add a disclaimer that the session will be recorded.
- If the students are recorded and they can be identified, the portion that shows the student(s) are considered to be an educational record under FERPA.
- Only the instructor and/or TAs should have access to the recording.
- Recordings should be retained for one year from the date of the exam.
Any class recordings that include students are considered education records and thereby subject to FERPA. Recordings that show students may only be kept and used by the instructor of record for the current class and section in which the student participates. These recordings may not be used in subsequent semesters and, under record retention policy, should be retained for one year after the course completion. '
